Is FreshBookings a full practice-management system for physiotherapy?
No. It handles booking, reminders, patient records, invoices and packages. It doesn't do clinical notes or insurance billing, so it suits self-pay physio, chiropractic and sports therapy clinics that keep their notes in another tool or on paper.
Can I offer a longer initial assessment and shorter follow-ups?
Yes. Each is its own appointment with its own length and price, such as a 60-minute assessment and 30 or 45-minute follow-ups. Prices and lengths can differ by clinician.
Can patients fill in intake questions before their first visit?
Yes, as questions on the booking form. Add your own, such as the injury, how it happened, medical history or medications, and make them required. Answers are saved to the patient's record. Signed consent forms aren't available.
Do you have SOAP notes or clinical charting?
No. You can keep notes on each patient and each booking, but there's no clinical charting.
Do you bill insurance or produce superbills?
No. You can record payments, including HSA and FSA cards run on your own terminal, and send a PDF invoice as a receipt. Online, patients can pay a deposit or save a card for the no-show fee, through your own Stripe account.
Is FreshBookings HIPAA compliant?
We don't make any health-data compliance claims. If your clinic needs a HIPAA-compliant system for patient records, FreshBookings isn't the right fit.
Can I book a whole plan of care at once?
Yes. Book recurring visits every 1 to 12 weeks, up to 26 at once, with clashes flagged first. For twice a week, book two weekly series. You can also sell a prepaid package, such as six follow-ups, and redeem a session at each visit.
Can I stop late cancellations and no-shows?
Yes. Reminders go out a day and an hour before, and a cancellation window stops patients cancelling late online. You can take a deposit when they book, a fixed amount or a % of the visit, refunded automatically if they cancel in time and kept if they cancel late or don't show.
Or ask flagged patients, or everyone, to save a card: mark a no-show and the no-show fee is charged to it, with any deposit counted towards it. How deposits and no-show fees work.
I do home visits. Can I limit bookings to the areas I cover?
Yes. Set your service area by postal code and assign clinicians to areas by day of the week. Patients outside it are told before they book. Travel fees aren't added automatically; offer one as an add-on.
Does the AI receptionist give medical advice or answer the phone?
No to both. It's a chat on your website that answers questions about your appointments, prices, hours and policies, and books visits the patient confirms with a tap. Anything clinical or about insurance becomes a lead for you to call back.
