Client management software for small business.
Client management software for small business owners: one page per customer, stages that update themselves, and a list of who's due back.
- One page per customer
- Lifecycle stages update on their own
- A follow-up list of who's due back
Everything about a customer,
on one page.
Pick a part of it.
Know every customer by name.
One page per customer, with their history, packages, notes and messages.
- Visits, spend and last visit at the top.
- Packages, punch cards and referral credit on the same page.
- Custom fields and notes for what your team should know.
- Messages with that customer, in one place.
See who's slipping away.
Stages change on their own as people book, or stop booking.
- Lead → Customer → Lapsed → Churned, with no tagging by hand.
- Lapsed after 90 days and churned after 180 without a visit.
- Segments by recency, visits, spend or an active package.
Know who to call today.
Each service has a "come back in" time. The list fills itself.
- Queued when a visit is completed, for the date they're due.
- Cleared automatically when the customer rebooks first.
- Rebooking stats: at checkout, within 7 days and within 30.
Bring your list with you.
Moving from another tool or a spreadsheet takes a few minutes.
- CSV or Excel, with columns matched automatically.
- Duplicates handled for you.
- An error report shows anything that didn't import.
A simple CRM that
fills itself in.
Every booking, invoice and message adds to the customer's page. You don't keep a separate list.
One page per customer
Details, booking history, packages and punch cards, messages and referral credit, all together.
Stages update on their own
Lead, Customer, Lapsed after 90 days, Churned after 180. No tagging by hand.
Customer follow-up software
Each service has a "come back in" time. When a visit is completed, a follow-up is queued for that date.
Clears itself
If the customer rebooks first, their follow-up disappears, so the list only shows people to contact.
Segments
Group customers by recency, number of visits, total spend or whether they have an active package.
Your own custom fields
Store whatever your business needs to know, like hair type, allergies or car model.
Notes everywhere
Notes on the customer and on each booking, so the next person knows what happened.
Where they found you
Record the source (Instagram, Google, walk-in and so on). Flag a customer so they save a card to book, or archive or block them.
Bring your list
Import from CSV or Excel. Columns are matched, duplicates handled, and an error report shows anything that didn't import.
A booking is only
the beginning.
The customer page fills in as each booking moves along. Here's what else happens on its own.
Client retention software
without the extra tool.
How customer records inside your booking system compare with the usual ways of keeping them.
| Compared on | FreshBookings customers | A spreadsheet | A separate CRM |
|---|---|---|---|
| Visit history | Filled in from every booking | Typed in by hand | Needs a link to your bookings |
| Who's due back | A follow-up list, by service | Hard to see | Depends on the setup |
| Lapsed customers | Marked after 90 days, automatically | Only if you check | Depends on the setup |
| Packages and credit | On the same page | Another tab | Usually not |
| Extra cost | Included | Free | Another subscription |

About customer management.
Straight answers, including what FreshBookings doesn't do yet.
How do lifecycle stages work?
They update on their own. New contacts start as leads, become customers after a visit, are marked lapsed after 90 days without one, and churned after 180.
Does it send win-back messages automatically?
Not yet. The follow-up list shows exactly who is due or overdue so you can call or text them, and each follow-up clears itself when the customer rebooks.
Can I import my existing customers?
Yes, from CSV or Excel. Columns are mapped automatically, duplicates are handled for you, and an error report shows anything that didn't import.
Can I export my customer data?
Yes. The Customers report, with spend, visits, average spend and last visit, exports to CSV, as do most other reports.
Can I add my own fields?
Yes. Add custom fields to store whatever your business needs to know about a customer. They can also be asked on your booking form.
Can my staff see every customer?
Staff see only their own calendar and customers. Owners and admins see everyone.
